This Privacy Policy ("Privacy Policy") describes how Arclite LLC ("Arclite," "we," "us," or "our") collects, uses, discloses, and safeguards information in connection with our cash flow forecasting, accounts receivable, accounts payable, and treasury automation platform (collectively, the "Service"). Please read this policy carefully. By accessing or using the Service, you acknowledge that you have read and understood this Privacy Policy.

1. Information we collect

We collect information through three primary channels: information you provide to us directly, information we receive through authorized third-party integrations, and information generated automatically through your use of the Service.

Account information. Name, email address, password (hashed), workspace name, and billing details.
Financial and operational data. Invoices, bills, financial account balances, payments and payment status information, customer and vendor records, transaction history, forecasts, cash management data, and other accounting data you upload directly or that is synced from accounting systems (such as QuickBooks Online), payment processors (such as Stripe), and similar services you connect or choose to upload.
Communications. Email content, including metadata, delivery status information, and related records associated with communications sent or received through Arclite for collections, AP follow-ups, and team notifications.
Usage information. Logs, device and browser information, IP address, pages visited, and feature interactions, collected through our analytics providers.

2. How we use your information

We use the information we collect for the following purposes:

To provide, operate, and maintain the Service.
To operate machine learning, artificial intelligence, and automated decision support features that generate forecasts, recommendations, summaries, categorizations, and workflow automation outputs for your data.
To send transactional messages (verification, billing, system notifications).
To improve product features, debug issues, and prevent abuse.
To comply with legal obligations and enforce our Terms of Service.

3. How we share your information

We do not sell your personal information. We disclose information to third parties only as necessary to provide and support the Service, as described below:

Infrastructure and platform providers (hosting, database, authentication, file storage).
Integration partners you authorize, such as QuickBooks Online, Stripe, and Google for sign-in.
Communication providers for transactional email and notifications.
Analytics and error monitoring providers to understand product usage and diagnose issues.
AI providers for the assistant features. We send relevant context (such as your forecasts and account data) at the time you invoke an AI feature. We contractually require applicable AI service providers to process customer data solely for the purpose of providing requested services and not to use customer data to train general-purpose models except as expressly authorized by us or you.
Legal and safety disclosures. We may disclose information as required by law, court order, regulatory authority, or to protect the rights, property, or safety of Arclite, our users, or the public.
Business transfers. If we are involved in a merger, acquisition, financing transaction, reorganization, bankruptcy, sale of assets, or similar corporate transaction, your information may be transferred as part of that transaction subject to applicable law.
Professional advisors, including attorneys, accountants, auditors, and consultants who require access to information in connection with providing services to Arclite and who are subject to confidentiality obligations.

4. Data retention

We retain your information for as long as your account is active and as needed to provide the service. After account closure, we delete or anonymize personal information within a reasonable period, except where we are required to retain it to comply with legal obligations, resolve disputes, or enforce agreements.

5. Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit, encryption at rest for sensitive credentials, role-based access controls, row-level security, and regular security reviews. No system is fully secure; we cannot guarantee absolute security. Users are responsible for maintaining the confidentiality of their login credentials and for securing devices used to access the Service.

6. Third-party integration disclaimer

Arclite is not responsible for the privacy practices, security practices, availability, or content of third-party services that users choose to connect to the Service. Such services remain governed by their own terms and privacy policies.

7. Customer data ownership

As between Arclite and the customer, the customer retains all right, title, and interest in and to customer data. Arclite acquires no ownership rights in customer data and processes such information solely to provide, maintain, secure, and improve the Service and as otherwise permitted by applicable agreements and law. Arclite may create aggregated, anonymized, or de-identified information that does not identify any individual or customer and may use such information for analytics, benchmarking, product improvement, research, and other lawful business purposes.

8. Your rights

Depending on your jurisdiction, you may have the right to access, correct, export, or delete your personal information; to restrict or object to certain processing; and to withdraw consent. To exercise these rights, contact us using the information contained in Section 12 herein.

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected and the right to request deletion. Residents of the European Economic Area, United Kingdom, and Switzerland have rights under the General Data Protection Regulation (GDPR) and similar laws. In addition, certain U.S. states provide residents with privacy rights regarding access, correction, deletion, portability, and appeals. 9. Children

The Service is not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If you have reason to believe that a child has provided personal information to us, please contact us immediately using the information contained in Section 12 herein.

10. International transfers

Arclite operates in the United States. Your information may be transferred to, and processed in, the United States or other countries where we or our service providers maintain operations. Where applicable law requires appropriate safeguards for cross-border transfers of personal data (such as the EU Standard Contractual Clauses), we implement and maintain such safeguards.

11. Changes to this Policy

We may update this Privacy Policy periodically to reflect changes in our practices, technology, or legal obligations. When we make material changes, we will notify you by posting the revised policy on our website and updating the "Last updated" date at the top of this document. Where required by law, we will provide additional notice (such as an in-product notification or email). Your continued use of the Service following the effective date of any changes constitutes your acceptance of the revised Privacy Policy.
