Connect QuickBooks Online, then check three things.
Setup is one connection and about five minutes. No data entry, no import, no spreadsheet to upload.
1. Connect QuickBooks Online
Sign in at Intuit and approve the connection. It takes about a minute.
2. Arclite reads your ledger
Open invoices, bills, balances, and how every customer has paid you before.
3. Your first forecast appears
Thirteen weeks, week by week, with the tightest week marked and the reason it happens.
4. Check three things
Your payroll dates, the bills you never stretch, and any invoice you know is already settled.
What Arclite builds first
The first thing you get is the thirteen week forecast, built from the invoices and bills already in QuickBooks. Alongside it you get a list of overdue invoices with a drafted reminder for each one, and your bills ranked against the forecast. None of it sends or pays until you say so.
Give the first forecast five minutes of your attention. Payroll dates and fixed bills are the two things worth correcting on day one, because everything else is timed around them. If a customer already paid you outside QuickBooks, mark that invoice so the forecast stops waiting on it.
What a credit is, and what 100 covers.
Arclite is $50/month. That includes 100 credits. A credit is one action, not one minute and not one user.
- One credit, one actionA conversation with Beans, a simulation, an email sent, a workflow run. That is a credit.
- 100 included every monthThey come with the $50 plan. Nothing to buy up front and no top-up packs.
- 50 cents past 100Extra credits are 50 cents each and land on your next invoice. You are never cut off mid-month.
- They refill, they do not roll overYour 100 reset each month. An unused credit does not carry into the next one.
Roughly what 100 covers
One hundred credits is one hundred actions, so the arithmetic is easy to run against your own month. Forty approved reminders, twenty what-if simulations and thirty questions to Beans is ninety credits. Reading the forecast, adding a collaborator and looking at your bills cost nothing.
If you go over, you are not stopped. Extra credits are 50 cents each and appear on your next invoice. There are no packs to buy and nothing to pre-purchase. See how credits work on the pricing page.
We have not published a typical usage benchmark yet, so treat the numbers above as arithmetic rather than an average. If you want a read on your own volume before you commit, email us.
Nothing sends without you.
Every reminder is drafted and waits. Every bill is ranked and waits. Arclite does the work up to the point where it would cost you something, then stops and asks.
The default
Arclite drafts a reminder for each overdue invoice and puts it in your approvals queue. You read it, edit it if you want, and send it. Nothing goes to a customer without you clicking send. Payments never move on their own, and Arclite does not hold or move your money.
When you set up a workflow
A workflow is you deciding in advance. Set one up and Arclite will send that specific kind of reminder without stopping to ask, because you already said yes to it. That is the only way anything leaves without a click.
Turning a workflow off
Open the workflow in Settings and switch it off. Sending stops immediately and those reminders go back to waiting in your approvals queue. You can turn it back on later without rebuilding it.
Add your accountant. It costs nothing.
Invite a bookkeeper, a CPA or a fractional CFO as a collaborator from Settings at no extra cost. They see the same forecast you do and can act on it with you.
This is the fastest way to stop the monthly back and forth about where cash is. One picture, both of you looking at it, updated from QuickBooks rather than from a spreadsheet someone emailed on Tuesday.
Access only goes where you send it. An advisor sees only the clients who added them. More on that insecurity and data handling.
Reconnecting when it drops.
Connections expire, passwords change, and sometimes Intuit just ends the session. It is normal and the fix is short.
What happens when it drops
The forecast freezes at the last numbers it read. Reminders stop going out. Nothing is lost and nothing is deleted, but nothing is current either, so do not run Friday's decision on a frozen forecast.
How you find out
Beans emails you when the connection drops, so you are not relying on noticing a stale number yourself.
How to reconnect
Go to Settings, start the QuickBooks connection again and approve it at Intuit. It takes about a minute. The forecast catches up on everything that happened while it was frozen and reminders resume.
One price, and one click to leave.
The trial
Seven days. You add a card to start and nothing is charged until day 7. Connect QuickBooks and use everything. If you want to keep going, it bills $50 a month from day 7. If not, you are done and nothing charges.
The bill
$50 a month with 100 credits included. Any credits past 100 are 50 cents each and appear on your next invoice. There are no top-up packs to buy. Advisors running a client book are priced to their book.
Cancelling
Cancel in one click in Settings. No call, no retention offer. You can export your data for 30 days after cancelling, and we delete or anonymize it after that. Sooner if you ask. You can also revoke the QuickBooks authorization inside your Intuit account at any time.
The things most likely to go wrong.
These are the ones people write in about. Start here before you email.
Check the invoice or bill behind it in QuickBooks, because that is where Arclite read it. If the source is right and the timing is wrong, override it. Move a payment date, exclude an invoice, or mark a bill as fixed, and the forecast rebuilds around your change.
The QuickBooks balance can lag your bank by a few days, and that is the balance Arclite uses by default. Connecting your bank is optional and read only, and it exists exactly for this: a live balance instead of the QuickBooks one.
Nothing sends without you. Check your approvals queue first, because the draft is almost certainly sitting there waiting. If the QuickBooks connection has dropped, reminders stop until you reconnect.
The forecast freezes and no reminders go out until you reconnect. Beans emails you when it happens, and reconnecting takes about a minute from Settings.
